Depending on the plan subscribed to and the features enabled, Shule may in particular allow:
- management of student enrollments and records;
- management of classes and school years;
- management of attendance and absences;
- management of teachers and staff;
- recording of grades and assessments;
- generation of report cards and school documents;
- management and tracking of school fees;
- management of timetables and calendars;
- communication between the school and parents;
- parents’ access to information about their children;
- production of statistics, reports and dashboards;
- analysis of school data;

- as well as any other service subsequently developed for or integrated into the platform.
The features available may vary depending on the plan subscribed to by the School or the User.
3Acceptance of these terms
All use of ShuleSystem is subject to these Terms.
The User acknowledges having read these Terms before using the services to which they apply.
Where an account is created by a School for a member of its staff, a teacher, a parent or another user, the School must ensure that access is granted to the authorized person.
Specific contractual terms may supplement these Terms for certain services, plans or categories of clients.
In the event of any conflict, the specific terms expressly agreed between FST and the client shall prevail with respect to the matters they specifically govern.
4Account creation and management
Access to certain Shule features requires an account to be created or assigned.
The User undertakes to provide accurate, complete and up-to-date information.
Login credentials are personal.
The User must take the reasonable precautions necessary to prevent any unauthorized access to their account.
In particular, the User is prohibited from knowingly disclosing their credentials to an unauthorized person.
If an account is suspected of having been compromised, the User must change their credentials where this option is available to them and promptly inform ShuleSystem or their school.
FST may impose additional security measures, including multi-factor authentication for certain categories of accounts.
5Roles and permissions
ShuleSystem operates on a system of roles and permissions.
The features and information accessible depend in particular on the User’s profile and the permissions granted to them.
A principal, a teacher, an accountant, a parent or a student therefore does not necessarily have the same access rights.
The School is responsible for assigning appropriate roles to its institutional users, subject to the technical controls implemented by Shule.
FST reserves the right to restrict certain permissions for reasons of security, confidentiality or compliance.
6Parent access
Where Parent access is enabled, it allows the authorized parent or legal guardian to view information relating to the child or children correctly linked to them.
Depending on the features enabled, this access may in particular include:
- attendance and absences;
- academic results;
- report cards;
- communications from the school;
- information relating to school fees;
- calendars and events;
- certain school documents.
A parent must not be able to view information relating to a child they are not authorized to access.
Any incorrect link must be reported without delay to the School or to ShuleSystem.
7Data relating to students and minors
ShuleSystem is designed to process information relating to students, a significant proportion of whom may be minors.
This information must be given enhanced protection.
FST applies, in particular, the following principles:
data minimization; purpose limitation; confidentiality; access control; security; traceability where necessary; and special protection of data relating to minors.
Students’ personal data is not sold.
It is not used by ShuleSystem to serve targeted behavioral advertising to children.
FST claims no ownership rights over students’ school records by the mere fact that they are hosted or processed by means of ShuleSystem.
The detailed terms governing the processing of this data are set out in the Privacy Policy and, where applicable, in the Data Processing Agreement entered into with the School.
8Responsibility of the School for school data
The School remains responsible for the accuracy and lawfulness of the school information it enters, or has entered, into ShuleSystem.
In particular, it is the School’s responsibility:
- to ensure that the information entered is relevant;
- to keep its data reasonably up to date;
- to manage its users’ permissions properly;
- to comply with the legal obligations applicable to it;
- and to report any significant errors it identifies.
FST provides the technology infrastructure enabling this information to be processed in accordance with the services subscribed to.
9ShuleSystem plans
ShuleSystem may be offered under different plans.
Shule Standard
Shule Standard provides access to the main administrative, financial and educational management features for the school, in accordance with the characteristics of the plan in effect.
Shule Ultra
Shule Ultra includes the features of Shule Standard as well as additional features, which may in particular include:
- advanced data analytics;
- enhanced dashboards;
- artificial intelligence features;
- an assistant for teachers;
- a virtual tutor for students;
- analysis and decision-support features.
Shule Zéro Limite
Shule Zéro Limite combines Shule’s digital services with, depending on the contract entered into with the school, certain equipment or infrastructure designed to facilitate access to digital technology.
This package may in particular include:
- computer equipment;
- Internet access solutions;
- energy solutions such as solar kits.
The exact composition of the package is defined in the corresponding commercial offer or contract.
10Services for independent teachers
Shule may offer a version intended for teachers whose school does not yet use the platform.
This version may in particular allow the management of:
- students;
- assessments;
- homework;
- quizzes;
- examinations;
- grades;
- and educational documents or calculations.
Where a school subsequently adopts ShuleSystem, certain data may, where technically and legally appropriate, be transferred to or linked with the institutional account in accordance with the applicable rules.
11Artificial intelligence
Certain ShuleSystem plans may include features that use artificial intelligence.
These features are designed as assistance tools.
They do not replace the professional judgment of a teacher, school management, a parent or any other qualified professional.
Responses generated by artificial intelligence may contain errors, omissions or approximations.
Users must verify important information before using it in a decision that has a significant impact on a student.
No important decision, in particular concerning a student’s final assessment, discipline, academic guidance or exclusion, should be based solely on an automated response from Shule without appropriate human intervention.
The virtual tutor for students is intended in particular to support learning and may favor an educational approach that guides students through their reasoning rather than simply providing them with the answers.
The detailed rules applicable to these features are set out in the ShuleSystem Responsible Artificial Intelligence Use Policy.
12Use of data in connection with AI
The use of an artificial intelligence feature does not transfer ownership of the school data of the School or of the student to FST or to any artificial intelligence model provider.
FST implements measures designed to limit the data transmitted to artificial intelligence systems to what is necessary for the relevant feature to function.
Where external technology providers are involved in the processing, their involvement is governed in accordance with the applicable rules on confidentiality, security and subcontracting.
The detailed terms governing the processing of data by artificial intelligence features are described in the Privacy Policy, the DPA and the Shule AI Policy.
13Prohibited uses
In particular, it is prohibited to use ShuleSystem in order to:
- access another person’s data without authorization;
- impersonate a user;
- circumvent security mechanisms;
- knowingly introduce malicious software;
- compromise or attempt to compromise Shule’s infrastructure;
- carry out unauthorized mass extraction of data;
- knowingly disrupt the operation of the service;
- use student data for purposes incompatible with its educational purpose;
- distribute manifestly unlawful content;
- or use Shule in connection with activities contrary to applicable law.
FST may take technical or contractual measures in the event of misuse.
14Security
FST implements technical and organizational measures designed to protect the data processed by ShuleSystem against, in particular:
- unauthorized access;
- loss;
- accidental destruction;
- unauthorized alteration;
- disclosure;
- and certain forms of cyberattack.
Depending on the technical architecture in place, these measures may in particular include encryption of communications, access control, logging, backups, restoration mechanisms, infrastructure monitoring and various network and application protections.
As no computer system can guarantee absolute security, FST maintains an ongoing process of security prevention, monitoring and improvement.
15Backup and continuity
FST implements backup and continuity mechanisms appropriate to the nature of the service.
The purpose of backups is in particular to allow information to be restored in the event of a major technical incident, within the limits of the applicable recovery procedures and capabilities.
Specific contractual commitments regarding availability, backup, recovery time and support may be defined in the applicable Service Level Agreement.
16Availability and maintenance
FST endeavors to ensure a high level of availability of ShuleSystem.
The service may, however, be temporarily interrupted, in particular for:
- maintenance;
- updates;
- security improvements;
- technical incidents;
- urgent interventions;
- unavailability of a critical provider;
- or events beyond FST’s reasonable control.
Where reasonably possible, major maintenance operations are scheduled so as to limit their impact on users.
17Third-party services
Certain Shule features may depend on external providers or infrastructure, in particular for hosting, connectivity, communications, payments, sending SMS or emails, cybersecurity or certain artificial intelligence functions.
FST selects and oversees its providers taking into account, in particular, their role, the level of risk and the applicable data protection requirements.
The list of the main subprocessors involved in the processing of personal data may be provided in accordance with Shule’s subprocessor policy.
18Subscriptions and payments
Certain ShuleSystem features are available by subscription.
Prices, payment terms, subscription term, any applicable taxes, renewal conditions and included services are defined in the applicable commercial offer, purchase order, contract or General Terms of Sale.
Non-payment or late payment may result, after the contractual procedures provided for have been applied, in the restriction or suspension of certain services.
19Equipment
Where the plan includes equipment, in particular computers, network equipment or solar kits, the terms relating to its delivery, installation, warranty, ownership, maintenance, replacement and liability are defined in the corresponding contract or commercial terms.
20Intellectual property
ShuleSystem, its architecture, interfaces, software, trademarks, logos, proprietary content, technical foundations, graphic elements, algorithms and documentation are protected by the applicable intellectual property rights.
Unless authorized in writing by FST, it is in particular prohibited to copy, reproduce, resell, disassemble or commercially exploit all or part of the platform outside the rights granted in connection with normal use of the service.
This provision does not grant FST any ownership rights over school data belonging to the client or to the data subjects.
21Suspension of an account or of the service
FST may temporarily suspend an account or a service where reasonably necessary, in particular in order to:
- protect the security of the platform;
- prevent unauthorized access;
- respond to a serious breach of these Terms;
- comply with a legal obligation;
- prevent significant harm;
- or address a payment default in accordance with the applicable contract.
Where circumstances permit, FST informs the client or user concerned and seeks to enable the situation to be resolved.
22Termination and end of service
The terms for terminating an institutional subscription are defined by the corresponding contract or General Terms of Sale.
The end of a contract does not necessarily result in the immediate deletion of data.
Unless otherwise required by law, a dispute, a security measure or a different contractual provision, FST may maintain a period allowing the client to retrieve or export the data concerned before its permanent deletion.
The exact duration and terms of this period are defined in the Data Retention and Deletion Policy and, where applicable, in the DPA or the contract entered into with the client.
23Data export and portability
ShuleSystem aims to enable schools to retrieve their data in reasonably usable formats where this feature is available and subject to:
- the rights of data subjects;
- legal obligations;
- security;
- and reasonable technical limitations.
FST may provide specific procedures for large or complex export requests.
24Liability
FST is responsible for performing its obligations in accordance with the applicable contract and the laws in force.
The School remains responsible for the educational, administrative, disciplinary and financial decisions it makes on the basis of the information available in Shule.
FST does not guarantee that the information entered by users is accurate where its accuracy depends on the School or the user who entered it.
Any limitations of liability applicable to commercial relationships between FST and its institutional clients are set out in the General Terms of Sale or the corresponding contract, to the extent permitted by law.
25Personal data protection
The processing of personal data carried out by means of ShuleSystem is subject to applicable law and in particular, where applicable, to the relevant provisions of Ordinance-Law No. 23/010 of March 13, 2023 on the Digital Code of the Democratic Republic of the Congo.
The principles, purposes, categories of data, retention periods, rights of individuals, any transfers and protective measures are detailed in the ShuleSystem Privacy Policy.
Processing relationships between FST and schools may also be governed by a Data Processing Agreement (DPA).
26Changes to ShuleSystem
Shule is an evolving service.
FST may modify, improve, add or remove certain features, in particular in order to:
- improve the service;
- ensure its security;
- respond to technological developments;
- comply with regulations;
- or adapt its plans.
Where a change substantially affects a service subscribed to under a contract, FST applies the provisions of the relevant contract.
27Changes to these Terms
FST may amend these Terms, in particular to take account of changes in:
- ShuleSystem;
- legislation;
- security requirements;
- or its services.
The date of the last update is indicated on the published version.
Where changes are substantial and where necessary, the users or schools concerned may be informed of them by appropriate means.
28Force majeure
FST shall not be held liable for any failure directly caused by an event reasonably beyond its control, including a natural disaster, conflict, major infrastructure failure, general telecommunications outage, decision of a competent authority or any other event having the characteristics of force majeure under applicable law.
29Electronic communications
The User agrees that certain communications relating to the operation of ShuleSystem may be sent to them electronically, in particular via the platform, the mobile application, SMS or email, depending on the contact details available and the services enabled.
Marketing communications are subject to the applicable rules and preferences.
30Governing law
These General Terms of Use are governed by the law of the Democratic Republic of the Congo, in particular by the applicable provisions of the Digital Code and other relevant legislative and regulatory texts.
31Dispute resolution
In the event of a dispute relating to the use of ShuleSystem, the parties are encouraged to first seek an amicable solution.
Failing amicable resolution, the dispute shall fall within the jurisdiction of the competent courts in accordance with applicable law and the provisions of any contract entered into between FST and the client concerned.
